Knowledge, Skills & Abilities (Required):
• High school diploma or GED with 3 years of experience working in a strong (fast-paced environment) payroll position.
• Strong in-depth understanding of compliance related to payroll processing, including wage and hour laws (Federal, State, Local).
• Ability to prioritize effectively and work under tight deadlines.
• Experience in high-volume processing.
• Strong experience in Excel and PowerPoint.
• Excellent written and oral communication and interpersonal skills along with high personal integrity, credibility, and energy.
• Experience with ADP Enterprise System.
• Time and attendance support via entries, edits, and configuration.
• Comprehensive Outsourcing Experience.
• Union payroll processing experience.
Education / Experience (Preferred):
• Experience using Workday HR Information Systems (HRIS) for both data storage and analysis.
• Experience working with payroll processing vendors, coordinating, and monitoring payroll processing functions or vendors performing these functions.
• Knowledge of HR business processes and working with independent groups (e.g., Finance and Human Resources) through experience working with interdependent groups impacted by the payroll process.
• Bachelor's degree in related discipline.
• Experience with Service Now.
• Union CBA and time configuration experience.
Responsibilities:
The Payroll Specialist is responsible for payroll operation tasks ensuring compliance with Federal, State, and Local payroll tax and garnishment regulations for the US. Key responsibilities include:
• Partnering with ADP's managed payroll services teams to ensure accurate data entry for multi-state payroll under strict deadlines while ensuring all entries and system outputs are in compliance with state and federal laws.
• Ensuring payroll processes follow existing regulations and that new regulations are identified and implemented promptly by our company and/or ADP.
• Researching payroll-related cases and providing remediation, while resolving escalated employee cases and inquiries.
• Supporting other payroll team members with processing when necessary.
• Processing bi-weekly multi-state payrolls for more than 30,000 US/PR employees.
• Reviewing payroll inputs from various internal sources to ensure accurate payroll processing for multiple payrolls.
• Working with the HR team to aggregate employee data relating to new hires, terminations, and bonus payments during each pay period to accurately process payroll for that period.
• Auditing current processes to reduce the number of payroll-related errors.
• Validating and balancing Rapid Pay Data entries and submitting Batch Totals to ADP per pay group.
• Completing Action Items in the ADP portal with a list of Rapid Pay Data and flagged items to be reviewed by ADP during processing.
• Processing legal payment agreements.
• Processing vacation for immediate pay state terminated employees.
• Handling complex transactions including, but not limited to, Inpats, Expats, and Stock Options.
• Supporting internal/external audits.
• Managing service tickets via Service Now.
• Participating in projects including mergers, acquisitions, and process improvements.
• Managing time and attendance systems.
• Handling union CBA and time configuration.
• Demonstrating strong analytical skills and attention to detail.
• Working in a shared services HR environment.
• Continuously recommending process improvement initiatives.
Primary Duties & Responsibilities:
1. Internal Company Processes & Policies:
• Work independently or as part of a team in a fast-paced environment to deliver results to deadlines.
• Interface directly with ADP to ensure that all payroll-related actions are provided accurately and efficiently.
• Respond promptly to employee inquiries, which may be in the form of audits or correspondence.
• Provide support on all mergers and divestitures.
• Serve as backup to the Puerto Rico team and non-exempt payroll.
2. Internal Controls:
• Monitor internal controls to verify that input and processing of all payroll data, including wages, garnishments, applicable wage taxes, and other miscellaneous wage/benefit programs, calculations, and deductions meet expectations, in conjunction with best practices.
• Create and review audit and management reports at the appropriate time in accordance with the production schedule.
• Participate in ADP/company meetings for the development and ongoing administration of payroll, providing documentation on issues and working collaboratively with ADP, third-party vendors, and internal company divisions toward timely resolution.
• Ensure internal controls established related to payroll are maintained and monitored on a continuing basis.
• Research, investigate, and report all problems, corrections, and changes related to ADP payroll programs, and respond to related inquiries and escalations in a timely manner.
• Participate in making updates to Payroll Standard Operating Procedures, Work Instructions, and Process Mapping.
• Support the Payroll Manager in all internal/external audits.
3. Ongoing Process Improvements:
• Assist the Payroll Manager with the development and maintenance of internal client policy documentation related to payroll processing.
• Provide recommendations on changes to policy, procedures, or rules that influence or affect the administration of payroll and communicate recommendations and business decisions to the Payroll Manager, as appropriate.
• Work with ADP on changes, updates, and/or additions to any current processes, including areas of processing, Employee Service Center impact, and updates to the COS Knowledge Base.
4. Other Duties (as necessary):
• Work with ADP to research and deliver data related to activities that occurred prior to the start of ADP service delivery.
